This policy details how The Village Childcare Services (“The Village”) collects, uses and discloses the personal information which we collect during your interaction with The Village.
Your Privacy
At The Village, we are committed to protecting your privacy as an online visitor to our website and as a potential, former and/or current service user. We will sometimes ask customers for personal information such as your name, phone number, address, e-mail address, occupation, and other details as well as obtaining personal information from you when you undertake other activities such as when you provide feedback or contact our customer support.
If you are a job applicant, an employee, a volunteer or a contractor working at or with The Village, we may obtain personal information related to your role or undertaking with us which may include ID documentation, information on a job application, working with children checks, employment records, emails related to your role with us and other such details.
It may also be necessary for The Village to collect medical details, financial details, in the facilitation of services including information derived from emails, calls and meetings with you and/or others and such information may be regarding you, your family and/or your child/ren. This information is often but not solely collected during the enrolment of a child at The Village and is often necessary for us to collect in order to provide childcare services to the child such as by having in our possession accurate medical details of the child and to effect childcare fee reductions to service payments through the Child Care Subsidy system.
We use the information we collect about you to maximise the services that we provide to you. We respect the privacy and confidentiality of the information provided by you and we adhere to the Australian Privacy Principles and all of the customer data collected by us is secured against unauthorised use or access.
Personal Information Privacy
We collect financial information of parents and children to enable The Village to provide an education program and childcare for the child/ren. This includes satisfying the needs of the parents, the needs of the child/ren and the needs of The Village, and the services attended by the child/ren throughout the whole period the child is enrolled.
The Village may use personal information collected from you for the purpose of; providing you with information about your child’s education and care, to provide direct marketing material, managing and resolving complaints, processing payments including for the recovery of debt, day-to-day administration, and to satisfy legal and/or regulatory obligations of The Village and the service and to allow the discharge of its duty of care. The Village may share personal information between its services, such as when a child transfers from a LDC to an OSHC, or from one OSHC service to another OSHC service, under which circumstances, the service receiving the personal information may then only use the personal information for the purpose which it was originally collected by The Village.
The Village may disclose information about child/ren to; other services and educators at The Village, authorised state and commonwealth agencies, state education departments for transition to school purposes and/or liaison of child-focused and developed strategies and practices, people providing support to the service including medical practitioners and professionals, regulatory authorities, organisations providing funding related to the childcare of the child/ren including inclusion support funding, third-party products or services which have privacy policies in accordance to the Privacy Act 1998 (Cth) such as OWNA, parents, anyone parents authorise the service to disclose information to and anyone whom the services or The Village are required to disclose information to by law.
If you are a job applicant, an employee, a volunteer or a contractor working at or with The Village, your personal information collected by us may be used for administering your employment, job application or contract, for insurance purposes, for marketing the service and/or for satisfying the Village’s legal obligations, for example in relation to child protection legislation.
The Village will not sell, rent, or give away our employees’, our customers’ or any other persons personal information to other companies or any other legal entity for use in selling others’ products or services. The Village does partner with other organisations for the purposes of providing customers with enhanced internet services and other services which we offer. In providing such services, our business partners also may request personal information from our customers. Such information is provided only when it is required to achieve an undertaking with our partner and when we do so, we prohibit these business partners from selling or giving away our customer information and we require them to have a posted Privacy Policy.
Other than in the development of our website and in the provision of services to our customers, The Village will only supply your information to third parties in instances where we are required by law (such as a law, regulation, court order, subpoena, warrant, in the course of a legal proceeding or in response to a law enforcement agency request), for goods or services which you have purchased or to protect our copyright, trademarks and other legal rights. If there is a change of control in our business (whether by merger, sale, transfer of assets or otherwise), customer information, which may include your Personal Data, could be disclosed to a potential purchaser under a confidentiality agreement. We would only disclose your information in good faith and where required by any of the above circumstances.
Any non-personal information, communications and material you send to this website or to us by email, or which we obtain from third parties without promises of confidentiality, may be kept, used and disclosed by us on a non-confidential basis. Accessing and Updating Personal Information
A child and parent have the right to obtain access to any personal information which The Village or a service holds about them and to advise The Village and the service of any perceived inaccuracy. Children and parents will generally be able to access and update their personal information and we endeavour to provide a response within 14 working days where possible.
Requests to access personal information must be sent to The Village in writing and must include;
your name and contact details
the personal information you want to access
how you’d like access to the personal information (such as receiving a copy by email or post, or if you just want to look at the information)
if you authorise a person or organisation to access the personal information on your behalf
There may be a charge for providing you access to the requested personal information. Where a charge does apply, The Village shall inform you of the likely amount of the charge, if any, when you make the request.
Any charges will be based on factors such as but not limited to, the cost of staff searching for, locating and retrieving the requested information, and deciding which personal information is relevant to the request and staff reproducing and sending the personal information.

There will be occasions when access is denied. Such occasions would include, but is not limited to the following circumstances;
